Step 1 – Call Us!
303-432-7007 (MST) – Speak with one of our Account Executives and provide an overview of your project and vision. If you already own a trailer/vehicle, we’ll ask you to send photos of the interior and exterior.
Step 2 – Initial Quote
Your Account Executive will gather all necessary information about your project in order to provide an Initial Quote. Initial Quotes are based on the most recent information acquired from you (type of vehicle, equipment, features, furnishings, and other attributes of the project) and our previous experience with similar projects. A variety of factors can affect the cost of each trailer/vehicle customization, but the Initial Quote will serve as a low to high range of costs associated to build your custom trailer or vehicle.
Depending on the time of year, the Initial Quote process can take 7-10 business days. Once completed, your Account Executives will review the Initial Quote with you so you understand it completely.
*Details not described in the initial conversations with our Account Executives and added later in the design or production process may lead to unexpected changes in the overall cost of your vehicle and can also cause delays in the production process.
Step 3 – Production Space Deposit
Since we have a limited number of production bays in our facility and some projects have tight timelines, the Production Space Deposit reserves and assures space availability for your project. This deposit will then be applied to your final billing.
Step 4 – Vehicle Acquisition Agreement
We use this agreement when acquiring a base vehicle for your build, including new shell purchases from the Airstream, Inc. company. If we are utilizing a vintage vehicle, we need to acquire the vehicle prior to the design and estimating phase to determine the project scope as accurately as possible.
Step 5 – Design Agreement and Fee
Once the scope of your project is fully understood, a Design Agreement is initiated and Design Fee requested so you can start collaboration with our design team and develop a detailed plan for your vehicle. The design process can be completed within a few weeks or it might take a couple of months depending on how quickly design decisions are made, the complexity of the project, and the workload of our designers. We make every attempt to complete the design as soon as possible and appreciate your engagement in the process and timely responses.
In most cases, we can complete the designs with a series of conference calls, emails and parcel delivery. Some clients prefer to visit our facility for a design meeting and in some cases, we will travel to you.
Step 6 – Production Estimate, Deposit, & Payment Schedule
Once the design is completed, Timeless will prepare a Production Estimate which is the estimated cost of all the various design and manufacturing elements included in your customization. The Production Budget presents a subtotal for each system of the vehicle: Chassis, Body, Electrical, Plumbing, Furnishings, etc. and is completed soon after you approve the final design.
The Initial Quote, as described above, is much broader in scope and includes a range of costs associated with the project, whereas the Production Estimate is a the actual detailed cost summary once a final design is approved.
After you approve the Production Estimate, a 50% Production Deposit is required. Timeless will also provide you with a payment schedule outlining required payments throughout the production process.
Step 7 – Work Begins & Project Updates
The production of your customized vehicle begins. Timeless provides bi-weekly updates and these reports are usually quick explanations and/or photos to show you the progress of your vehicle.
Change Orders
Throughout the production process, changes can sometimes be initiated by both the customer or by Timeless. Change orders can cause unexpected changes in the overall cost of your vehicle and can also cause delays in the production process. Delays in the production process can become quite expensive, and in rare cases, changes cannot be accepted due to the progress of the project. Your Account Executive will keep you apprised of the deadlines on your project. Timeless requires Change Orders to be funded upon approval and some Change Orders may carry a 10% fee to offset the cost of any delays in purchasing, shipping, or production.
Pre-Delivery Inspection, Progress Visits, and Final Delivery
You are welcome to visit our facility at any time during the production process. We request you contact your Account Executive to make arrangements in advance so we can accommodate your visit within our production schedule.
Once completed, some clients pick up their vehicle at our facility in Colorado; others have it delivered. If you choose to have your vehicle delivered, Timeless will arrange all logistics and transport your vehicle to you by the best, safest, and most economical method possible.
Storage and Warranty
We have limited on-site storage for your vehicle. It is outdoor space and we are located in a climate which experiences damaging hail through the hotter months. Timeless is not responsible for your vehicle while in outdoor storage so we strongly recommend you carry insurance on your vehicle while it is at our facility.
We provide storage, free of charge, for 60 days while your design and budget is in progress and up to 30 days after the completion of your vehicle. We can make arrangements, at additional cost, for outdoor or indoor storage at a different location under separate ownership. Should Timeless be required to discontinue production on your vehicle due to delays on your part, we may pull your vehicle from production and place it into storage at additional cost.
All of our vehicles come with a one-year warranty (except new Airstream-based trailers which carry a two-year warranty). Please contact us immediately with any warranty claims so they can be addressed in a timely manner.
